Manage seller orders

Find, sort, bundle, and update orders

Outcome: Work from the seller Orders page without mixing seller and buyer workflows.

Work from the seller Orders page

Open a form's Orders page from the dashboard or Builder to review its submissions. Each order can show the submission time, buyer name and email, shipping address, saved items and prices, shipping selections, product and shipping discounts, payment or other fees, seller adjustments, saved total, submitted answers, payment evidence, status, tracking, and seller notes.

Use individual order actions when one buyer or one order needs a different result. Select orders for supported bulk status, archive or unarchive, delete, payment-request, document, tracking, or bundle actions. A bulk operation still processes the selected orders individually. If a partial failure is reported, refresh Orders and review what remains; earlier orders may already have changed. Order details and screenshots can contain buyer names, contact information, addresses, payment choices, and notes, so redact them before sharing.

Deleting removes the seller's operational order and cannot be undone from Orders. If EZFormz says the order was deleted but cleanup did not finish, the order is already gone; refresh Orders before continuing. The buyer's protected receipt is separate.

Seller notes are private and never appear in My Orders. With Message customers permission, you can choose Resend Email to send the buyer's updated confirmation or Message to open the order thread. You can also choose Status History or Report Buyer. Confirmation resends and order-message email prompts use EZFormz delivery; they are not sent from a seller-owned mailbox. A connected Google Sheet shows a sync chip on each order: a green check means the order is synced, while waiting or failed chips need reconciliation.

Read the list and revenue cards

Use the status tabs, search, and sort menu to find an order. Sort options include newest or oldest, most recently edited, buyer name, amount, payment method, status, and bundles first. The amber Edit Requested tab appears only while at least one active order has a pending buyer request.

Active Revenue adds each non-cancelled order's saved invoice total, including pending submitted orders. Crypto Payment Total and Non-Crypto Payment Total partition that same set: every order is counted exactly once under its selected payment method, and the two totals add back to Active Revenue. Proof uploads, later payment rows, verification, and refunds stay visible on the order but do not add another copy of its invoice value. An order without a recognized crypto method appears under Unspecified in the non-crypto breakdown.

If the complete payment, refund, and balance snapshot cannot be loaded, the Orders page asks you to refresh instead of showing zero balances or incomplete revenue cards.

The collapsed-row Copy menu can copy the order ID, shipping information, phone number, buyer email, and submitted Telegram name or username when available. A shortened Telegram identity can be expanded without opening the order.

Group orders for fulfillment

A bundle is a seller-side packing and shipping group. To create one:

  1. Select between 2 and 100 orders from the same form.
  2. Choose the bundle action and confirm the selection.
  3. Review warnings when buyer, address, payment, status, or tracking values differ.

Bundling does not merge orders, charge amounts, inventory, coupons, payment records, or balances. If a selected order is already in another bundle, it moves to the new bundle.

Bundle status and tracking actions update member orders one at a time. If an action reports a failure, review every member because earlier orders may already have been updated. Unbundling removes only the fulfillment group; it does not change the orders.

Bundle cards can also request payment, print invoices or packing slips, select all members, and apply one tracking value to the included orders. Those actions still operate on each underlying order; a bundle is never one combined invoice or payment obligation.

Review form-wide summaries

Duplicate Check scans explicit transaction references on the loaded form's payment rows and links matching orders for manual review. An ordinary custom question does not become a payment transaction field because its label contains “TXID,” “transaction,” or “hash.” A duplicate is informational and does not block proof acknowledgment or an order edit.

Poll, checkbox, and multiple-choice results can be shown as aggregate bars. Product Summary totals quantities for the currently selected orders and shows product, shipping, discount, fee, and adjustment components separately. Those visible components must reconcile to the selected saved Invoice Total values; if they do not, EZFormz asks you to retry instead of guessing.

Keep seller and buyer history separate

Archiving on the seller Orders page hides an order from the seller's default list. It does not archive the buyer's copy or erase the order from seller totals and exports.

Buyers manage their own history from My Orders. A buyer may see that an order belongs to a bundle, but every order remains a separate purchase with its own receipt and actions. See View buyer orders and protected receipts.
